Administrative Assistant / Receptionist



The position of Administrative Assistant / Receptionist is responsible for answering the telephone and determining appropriate direction for business inquiries; performing a variety of routine clerical duties including, but not limited to: greeting visitors and directing them to the proper department; receiving and distributing mail and correspondence; gathering data and compiling various reports for management; photocopying materials; maintaining files; ordering supplies; issuing correspondence; and promoting business for the Bank by maintaining good customer relations.


Answers telephone, routes calls to appropriate individuals, takes and relays messages.

Greets visitors and directs them to the proper department or employee. Answers general questions relating to financial institution services or arrange appointments as necessary.

  • Ensures reception area is neat and orderly, and that forms and other display items are stocked and well maintained.
  • Performs administrative duties, such as typing, filing or routine clerical work, as time permits.
  • Set up and logistics for meeting rooms; maintain drinks and snacks as needed in meeting rooms.
  • Coordinate and set up meals for training and meetings.
  • Sorts, screens and distributes mail along with preparing copies and distributing materials.
  • Operates computer terminal or personal computer to input and process data.
  • Assist with corporate office supplies including maintaining inventory and ordering supplies and forms as needed.
  • Assist with data input of accounts payable invoices and expense report submissions after supervisor approval as needed.
  • Refers problems to appropriate individuals.
  • Adheres to all levels of our Service Excellence standards.
  • Completes annual compliance courses.


  • Adheres specifically to all corporate policies and procedures. Also adheres to Federal and State regulations and laws including the Bank Secrecy Act.
  • Performs additional duties and responsibilities as directed.


Knowledge & Experience

High school diploma or general education degree (GED); or the equivalent combination of education and experience is required. Work related experience should consist of duties in a business environment. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.

Physical Demands/Work Environment:
Vision, hearing and speech are required. Individuals must have the ability to work with detailed information in a concentrated manner.

The environment for this position is an open office that is mostly clean and comfortable. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non-confined office-type setting in which he or she is free to move about at will.

The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to approximately 25 pounds), carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.

The incumbent for this position may operate any or all of the following: telephone, copy and fax machines, adding machine (calculator), typewriter, computer terminal, personal computer and related printers.

Mental Requirements:
Vision, hearing, and speech are required. Individuals must have the ability to work with detailed information in a concentrated manner. The ability to utilize the computer and/or calculator is necessary. Must have reliable transportation and a valid driver's license is preferred.

The incumbent in this position must be able to accommodate to reading documents or instruments, detailed work, problem solving, customer contact, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, stress, training, multiple concurrent tasks, and constant interruptions.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
